Who we are

Arithim Ltd is an applied AI company in the United Kingdom. It builds software products and works with clients on AI projects. This policy explains what personal information we collect through this website, why, and what your rights are.

Arithim Ltd is a private limited company registered in England and Wales, company number 17209022. Our registered office is 6 Dorchester Court, Greenlands Road, Staines-Upon-Thames, England, TW18 4LS. We are the controller of the personal information described here. You can reach us at hello@arithim.com.

What we collect

We collect the information you choose to send us: the details you enter in a contact or demo form, and any messages you send to hello@arithim.com or research@arithim.com. The contact and demo request forms use Cloudflare Turnstile to block automated submissions and Resend to deliver your message to our inbox. You do not have to give us any personal information. If you leave out a required field we cannot deal with your request, and without a name and contact details we cannot reply.

When you visit, Cloudflare, which hosts this site, processes technical data such as your IP address and request details so that it can deliver and protect the site. The site loads its fonts from our own servers and uses no advertising trackers.

Your device and browser

The site stores one item in your browser's local storage, your light or dark theme choice, and only when you use the theme switch. It stays on your device and is not sent to us. We use no advertising cookies or similar tools. To see which pages are read, we use Cloudflare Web Analytics, which sets no cookies, does not identify or track individual visitors and does not build a profile of you. It reports page views, referrers, countries, device types and page speed in aggregate. Our lawful basis is legitimate interests in understanding and improving the site. Because it stores nothing on your device, we show no cookie banner. Cloudflare Turnstile, which protects our forms and the Call us button, may use browser storage to tell people from automated software. This is for security and is needed to provide what you ask for.

How we use it

We use your details to reply to you, to deal with your enquiry and, where relevant, to discuss a potential engagement or research collaboration. We do not sell your information and we do not share it with third parties for marketing.

Our lawful bases

Enquiries by form, demo request or email: we use your details to reply and deal with your enquiry. Our lawful basis is legitimate interests in running our business and answering people who contact us and, where you ask us to take steps towards an agreement, contract.

Orders for reports and products: we use your details to supply what you ordered (contract) and to keep accounting and tax records (legal obligation).

Security and abuse prevention on the site, forms and assistants: legitimate interests in keeping our services safe.

You can object to any use based on legitimate interests by emailing hello@arithim.com.

Reports, ordering and early access

If you ask about a report or a product, register interest in an early access product, or order a report by email, we use what you send to reply, to supply the report and to keep a record of the order. Reports are sold to businesses only. Order and invoice records are kept for six years after the end of the tax year, which is what the law requires for accounting and tax.

Personal data in our reports

Our reports and screens use public records such as Companies House and planning registers. These can include the names and business details of directors, officers, applicants and landowners. We use them to produce the reports, on the basis of legitimate interests in providing business information from public sources. We keep them only as long as the report or the product needs them. You can ask us to access, correct or stop using your details by emailing hello@arithim.com.

Calls and chats with our AI assistants

The Call us button on this site lets you speak or type to Arithim's AI assistants. They are AI, not people, and you are told so before the call starts. The service is for people aged 18 or over, and for business enquiries. Please do not use it to share sensitive personal information such as health details. The assistants do not make any decision about you that has a legal or similarly significant effect. They answer questions, take messages and pass them to a person, who replies within one working day.

What we collect from calls and chats

Your voice is processed live so that it can be turned into text. We ask the voice provider not to keep the audio. We keep the transcript of the conversation, the details you choose to give (such as your name, organisation, email address or phone number, and what you want to talk about), a short summary, and technical data such as your IP address, which we store only as a salted hash and use to prevent abuse and limit repeated use.

If a call or chat fails to connect, your browser sends us a short technical report (browser type and the steps that failed, with no transcript text) so that we can fix the fault.

Why we use it

We use this information to answer your enquiry, to pass your message to a person at Arithim, to keep the service secure and within its usage limits, and to review and improve how the assistants answer. Our lawful basis is legitimate interests in answering enquiries and running the service safely. Where you ask us to take steps towards an engagement, we also use it to do so at your request.

Who processes it for us

ElevenLabs processes your voice and runs the voice conversation. Anthropic provides the AI model that writes the assistants' replies. Cloudflare hosts this site, provides Turnstile and Web Analytics, and stores the call records. Resend delivers the messages from our forms and the internal notification emails to our inbox. Each acts as a processor on our instructions, under its data processing terms. We do not sell this information and do not use it for marketing.

Each provider publishes the list of companies it uses to deliver its service: Cloudflare sub-processors, Resend sub-processors, Anthropic sub-processors and ElevenLabs sub-processors. Those lists change from time to time, and the provider is responsible for keeping its own up to date.

Where your data is processed

Some of our providers handle data in the United States and other countries outside the UK. We use them only where the transfer is protected by the UK extension to the EU-US Data Privacy Framework (for certified providers) or by standard contractual clauses with the UK International Data Transfer Addendum, as set out in each provider's data processing terms. You can ask us for details of the safeguards.

How long we keep it

ElevenLabs does not keep the audio and keeps conversation data for no more than 30 days. Our own records of calls and chats are deleted after 90 days. We keep enquiries for up to 24 months after our last contact with you. If you become a client or customer we keep the records for the relationship and six years after it ends. Order and invoice records are kept for six years after the end of the tax year.

Your rights

You can ask us at any time to access, correct or delete the information you have shared with us, including anything you told our AI assistants. You can object to our use of your information, ask us to restrict it, ask for a copy in a portable form, and withdraw consent where we rely on it. To make a request, email hello@arithim.com, quoting the reference the assistant gave you if you have one. We reply within one month.

If you are unhappy with how we have used your information, tell us at hello@arithim.com and we will acknowledge your complaint within 30 days and give you our response. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Changes to this policy

We update this policy when what we do changes. The date at the top shows when it last changed.
